Getting to know Tasks
Tasks gives you one place to create, assign, and track to-dos across your organisation, whether they relate to a policy, an application, a claim, or nothing at all. This guide walks through how the feature works.
Finding Tasks
Select Tasks in the left-hand navigation to open the task list.
Along the left side you'll find a set of built-in views:
- All tasks — every task in your organisation (permission dependant)
- My tasks — tasks assigned to you
- Unassigned — tasks with no owner yet
- Overdue — tasks past their due date
Below that sits Recurring tasks, which lists tasks that are automatically created on a schedule, and Manage schedules, where those recurring schedules live. You can also save your own Custom views if you filter the list in a way you'll want to come back to.
Filtering Tasks
Use the search bar to find a task by name, or select Filters to narrow the list.
Selecting Filters opens a panel where you can combine multiple conditions: status, priority, assigned to, created by, linked entity type, user group, and a due date range. Select Apply filters to run your search, Reset filters to clear it, or Create view to save the current filter combination as a custom view for next time.
Empty views
If a view has nothing in it yet, you'll see a simple empty state rather than a blank screen, like this one for My tasks:
Creating a task
Select + New task in the top-right corner to open the task creation form.
At minimum you'll need a Task name and a Priority — everything else is optional:
- Description — add context, links, or the expected outcome
- Assigned to — leave as Unassigned or pick a person
- User group — assign to a team rather than an individual
- Due date — defaults based on the priority you choose, but you can override it
- Entity — tick Link an entity to attach the task to a specific policy, application, claim, or complaint
- Schedule — tick Schedule for later or set to repeat to turn this into a recurring task instead of a one-off
- Checklist — tick Add a checklist to break the task into smaller steps
Select Confirm once you're happy to create the task.
Working on a task
Select any task in the list to open its detail view. From here you can see and edit:
- Assigned to and Assigned group, with quick Assign / Reassign links
- Status and Priority
- Linked entity, Due date, Created by, and Created on
- The task's Schedule, if it's a recurring task
- A Checklist tab for tracking sub-steps
- An Activity feed and a Notes tab on the right, so you can see the task's history or leave a comment without leaving the page
Use the Actions button in the top-right corner of the task to change its status, reassign it, or take other bulk actions.
Recurring tasks
If you set a task to repeat when creating it, it appears under Recurring tasks as a schedule rather than a single task. Open Manage schedules to see every recurring schedule in your organisation, including how often it repeats, when it next runs, how many times it's run, and when (or whether) it ends.
