FAQ - Policy ledger

*Q: Where do I find a policy's ledger?

Open the policy, then select Policy ledger from the left-hand menu on that policy's page. It's per-policy, not a single organisation-wide ledger.

*Q: What does the Ledger balance actually mean?

Hover over the info icon next to the balance — it's the sum of all posted ledger entries. A negative balance means the policyholder owes money; a positive balance means they're in credit.

*Q: What's the difference between Pending transactions and Ledger entries?

Pending transactions haven't been finalised  yet — for example, a collection that's still being processed. Ledger entries is the full, posted history, including anything that's since been marked successful, failed, or cancelled.

*Q: How do I resolve a pending transaction?

Select the menu on the transaction's row and choose Mark as successful, Mark as failed, or Cancel payment.

*Q: What are my options when adding a transaction?

Select Add transaction for four choices: Allocate EFT payment (record a manual payment made outside the platform), Request refund, Schedule payment holiday (pause a future premium collection), or Submit collection request (add a pending payment for the next billing run).

*Q: Can I attach proof of payment to an EFT allocation?

Yes — the Allocate EFT payment form has an optional upload area for proof of payment alongside the amount, payment date, and description fields.
